Terms & Conditions – Updated September 2024

The Lady of the Château SAS | Creative Retreats & Workshops


Agreement Confirmation
I confirm that by booking a retreat or workshop with The Lady of the Château SAS I have read and agree to the Privacy Policy and Terms and Conditions before arriving at Château de Puy Vidal.

Company Information
Your booking is with The Lady of the Château SAS, a company registered in France at 72 Lieu Dit Puy Vidal, 16110 La Rochefoucauld-en-Angoumois, SIRET 90767819700019. This agreement pertains to the Retreat (“Activity”) held at part or all of Château de Puy Vidal (“Property” or “Facility”).

Role Definitions
  • Organizers: Employees of The Lady of the Château SAS
  • Facilitators: Independent contractors, such as workshop leaders and guest instructors
  • Guests/Attendees/Participants: Anyone enrolled in a Retreat by deposit or full payment
     
Booking & Payments
  • Currency: All rates are in Euros and must be paid in Euros. Guests should confirm currency conversions with their financial institutions.
  • Deposit & Cancellation Policy: A 30-50% deposit is required to secure your booking (non-refundable due to costs associated with instructors and vendors). We recommend purchasing travel insurance for protection. No refunds are provided for early departure or unused activities.
     
Cancellation by Organizers
In unforeseen events or insufficient enrollment (fewer than 8 attendees), The Lady of the Château reserves the right to cancel the retreat, offering full refunds but excluding incidental expenses like airfare. If a facilitator is unavailable due to illness or injury, the workshop will proceed, with pro-rated refunds issued for instructor fees as applicable.

Property Use & Guest Etiquette
We kindly ask all guests to respect the Château’s tranquility and comfort. Smoking is not permitted indoors, and guests are expected to return rooms in their original condition, assuming responsibility for any damages. The kitchen is not available for guest use.

Children Policy
Our retreats and workshops are exclusively for guests 18 years and older. Minors under 18 are not permitted at these events unless specifically granted permission by The Lady of the Château SAS. Should any guests under 18 be on the Château grounds for a retreat or workshop, they must be accompanied by a parent or legal guardian at all times, who assumes full responsibility for their care and supervision.

Assumption of Risk
Staying in a 750-year-old property involves certain risks, such as uneven surfaces and stairs. While comfort and safety are priorities, the Château’s structure may pose challenges for guests with mobility concerns. By booking, guests assume these risks.

Health, Dietary Needs, & Allergies
 

Food Allergies & Dietary Restrictions
While we strive to accommodate dietary needs, we cannot guarantee an allergen-free kitchen. Guests with severe or life-threatening food allergies should carefully consider this risk before booking. Château de Puy Vidal is also a pet-friendly property, situated in a natural environment with gardens and wildlife, which may present additional allergens for those with environmental or pet sensitivities.
 

We reserve the right to cancel any reservation if we determine that safely accommodating specific dietary needs would be too challenging for our staff to fulfill with complete assurance.


Medical & Accessibility Considerations
Guests are responsible for managing health conditions and prescriptions. Due to the historic nature of the Château, accessibility may be limited. Participants should be able to walk unaided for at least 30 minutes. Elevator access is available to some rooms but is not universal. Please verify your rooms accessibility prior to booking your retreat.

Accommodation Details

Room Assignments

Rooms vary in size and decor; assignments are made based on registration order. Basic toiletries, linens, and towels are provided. To maintain the Château’s ambiance, rooms do not have televisions, though personal streaming devices are welcome.

Offsite Participants
Guests attending as offsite participants are responsible for their own accommodations and transportation. The Lady of the Château is not liable for issues encountered at independently booked accommodations or during transit.

Meals & Beverage Service

Meal Offerings

Our all-inclusive rate includes breakfast, lunch, and dinner, crafted with traditional French and seasonal ingredients. While we strive to meet dietary preferences, certain dietary accommodations may be challenging due to kitchen limitations.

Alcohol Preferences
We aim to provide a curated experience with wine and cocktail offerings. Guests may indicate preferences for alcoholic or non-alcoholic options in advance.

Intellectual Property & Media Consent
The Lady of the Château reserves the right to photograph and film during retreats for promotional use. Guests who prefer not to be included should notify us in writing before the retreat begins.

Liability Release
Guests acknowledge and assume risks associated with their stay, including but not limited to accidents, acts of God, or pandemics. The Lady of the Château is not liable for personal injuries or losses.

Dispute Resolution
Any issues during your stay should be reported immediately for prompt resolution. Disputes will be governed by French law (Department of Charente), with mediation or arbitration in France if required.

Protect Your Trip
We strongly encourage guests to secure travel insurance to cover unexpected cancellations or interruptions. Trusted providers include World Nomads.
